POSITION TITLE: Director of Operations
REPORTS TO: Group General Manager
PROPERTIES IN CHARGE : Alba Thanh Tan resort & Alba wellness
Director of Operation should have an excellent level of commercial awareness, who can build and maintain relationships with internal and external guests. Also responsible for highlighting short/medium/long-term issues to the Group General Manger and to help formulate solutions.
DUTIES AND RESPONSIBILITIES:
Responsible for all operational aspects of all departments, with special focus on Rooms Division.
Support and work with all Head of Departments in all aspects of running the resorts.
Ensure the premises are in operative condition as per category of the unit to receive & serve the guests.
Conduct regular operations team meeting with all the HOD daily / weekly to discuss routine operational matters, guest feedback and action taken for service recovery, and also any staff issues.
Ensure SOP implementation in all departments and check the same during routine operational checks.
Randomly inspecting the stores (F & B / Kitchen) to check the stock in hand (quality, par stock levels, expiry etc) with the F & B Manager & Chef.
Inspecting all departments for SOP implementation.
Inspecting all department with their respective Manager's for cleanliness, ambience, service readiness, staff grooming & hospitality culture.
Monitor the co-ordination between all departments for smooth & efficient operations.
Assessing and reviewing customer satisfaction and service recovery process.
Meet all dept. heads to review & train the staff to upkeep the set standards and procedures.
Identifying staff learning needs and assisting with Training Manager and HR.
Providing timely and constructive feedback to all direct reports as and when required either formally or informally.
Monitor and maintain operation & overhead cost in order to maintain maximum revenue to the organisation.
Be on available on call 24 hours a day to resolve any urgent problems on emergencies.
Responsible for the overall management of the operation of the resorts in the absent of the Group General Manager.
Any other duties assigned.

Profit and Loss Management
Assist Sales Manager to plans the development of sales in your boutique
Assist Sales Manager/retail Manager to builds up the annual budget, keeps track of all foreseeable sales and expenses
Sales & Services After Sales Management
Ensures that all clients are properly served
Cooperate with Retail Manager to develops a selling strategy based on market trends, sales objectives and inventory control
Implements this strategy with a quality and customer-service oriented sales policy
Ensures that all the sales team fully understands the selling strategy and applies it
Ensure the services after sales is well done
Assist Sales Manager/retail manager to prepares sales budget every 6 months
Implements a proper buying strategy, based on the specificity of your boutique (demand, inventory and sales objectives)
Manages inventories in a pro-active way in order to increase the sales and keep a financially healthy stock level
Be fully aware of the inventory of all product lines at all times, anticipating stock build-up and shortages, and maintaining reasonable levels as much as possible
Optimizes sales in the boutique by ensuring that needed stock is available, regularly reordering
Merchandising & Product knowledge
Trains the sales team to develop proper merchandising skills
Maintains shop display and environment with company set standard of daily operation
Ensure about the product knowledge and the theme of season & year. Training and retraining the team about this
Establish the training plan and propose to to Retail Manger yearly.
Ensures that each member of the sales team provides an excellent service to each individual entering the boutique, in line with Chopard standards of customer service
Develops sales and goodwill through proper service to all clients
Always be present and back-up your team in case of conflicts
Motivates your sales team to serve all clients in excellent standards
Employs and retains high quality staff, at the right compensation level
Keep track of each individual performance, defining tasks and setting goals
Ensures that the team receives proper training regularly in order to develop customer service, product knowledge and selling skills
Oversees and ensures all leaves taken are in line with company policies and procedures while all untaken annual leaves are properly managed
Creates a sense of team spirit, discipline and mutual respect, as well as dedication and loyalty to the company
Ensures that everyone on the team receives proper support in order to achieve their full potential
Ensures that procedures and systems are clearly understood, run smoothly and comply with the ever-changing needs of the sales activities
Ensures that all sales activities are properly processed according to the company's procedures
Assist the Retail Manager per request to processes proper sales reporting according to the company's procedures
Assists the Marketing Team to implement any communication activities in relations with your boutique per request
Proposes to the Marketing Team all communication activities which could help achieve the sales objectives of your boutique
Be at all times a proper “ambassador” for Chopard with all visitors of the boutique, and to ensure that each member of the sales team also acts as an “ambassador” of the brand
Keeps up the boutique in excellent states at all times
Ensures proper maintenance and renovation works, in line with the agreed budget
Aware of the neighboring property market and to inform your supervisor of any opportunities
